Overbooking and conflict resolution

Overbooking happens when the same room is sold more than once for the same dates. Reservoria prevents most conflicts from the start; and when a situation is unavoidable, it recommends the lowest-cost solution.

Prevention first

  • A room sold through one channel is closed instantly across all channels.
  • Keeping all channels connected and correctly mapped minimizes the risk of overbooking.
  • Adding reservations you receive outside the platform to your calendar is critically important.

When a conflict occurs

On the rare occasion a conflict does occur, Reservoria detects the situation in real time and, within milliseconds, simulates hundreds of resolution scenarios. It costs out each scenario based on the OTAs' cancellation penalty policies (Airbnb, Booking, etc.).

The lowest-cost solution

  1. Reservoria shows the conflict and the affected reservations.
  2. It lists the options, such as moving the guest to another available room, an upgrade, or the most favorable cancellation.
  3. You see the estimated cost of each option, then choose and apply the most suitable one.

Tips

  • Keep your notifications on so you catch a conflict early.
  • Where possible, prefer a room move/upgrade over a cancellation — it preserves guest satisfaction and your review score.
  • After applying the solution, inform the guest involved.
